Start with the kind of event

The right kit follows from the type of event. A product launch or a members' meeting is mostly about clear speech: everyone should follow the presenter without effort, back rows included. An evening that ends on the dance floor needs a rig that moves from low-key lounge to a full room without losing clarity.

Indoors or outdoors

The setting shapes a lot. Indoors, sound bounces off walls and ceiling, so you need less raw power than you might expect. Outdoors, it drifts off into open air and you need more punch to reach the same group. Picture the space in advance

A long, narrow hall calls for a different layout than a square room, and a venue with a high ceiling or a lot of glass rings more than a furnished space with curtains and bodies in it. How many guests are coming?

Headcount is the main dial you turn. A rough guide to point you in the right direction:

• Up to around 30 people: the JBL PartyBox 310 on battery is compact and plenty for a reception or small gathering.
• Around 50 to 60 guests: the mains-powered PartyBox 710 delivers 800 watts and fills a room with ease.
• Toward 75 people: the PartyBox Ultimate at 1100 watts gives noticeably more headroom.
• From roughly 100 guests upward: the full speaker set with 2000 watts and an 18-inch subwoofer, a proper PA with stands and cables.

Falling between two sizes, or unsure about the acoustics of your venue? Size up rather than down. A rig with a little in reserve sounds cleaner at half throttle than a small one pushed to its limit. It also leaves you headroom for the moment the room gets loud and lively.

Speech, music, or both

For events with talking, a good microphone matters as much as the speaker. The wireless microphone set gives a host or compère freedom to move around the stage and works nicely for a toast or a presenter. If the speaker stays put behind a lectern, a wired Shure SM58 is rock-solid and dependable, and it will never cut out on a dead battery.

For an event, delivery is often the sensible choice, especially with a larger PA that will not simply lift into a hatchback. We deliver in Utrecht and the neighbouring towns. If you have your own transport and the set is compact, collecting it yourself is an option too; it saves on cost and you set the timing. Setting up without technical know-how

Most sets go up with a short briefing. Speakers on the stands, cables in, phone or laptop paired, and the volume brought up gently. For a larger PA we explain how to angle the boxes and where the subwoofer sits best. If you would rather not touch the technical side at all, mention it when you enquire and we will steer you toward a layout that is close to plug and play.

Booking early pays off

Events tend to be planned well ahead, which is exactly when to lock in the sound as well. Popular sets go quickly on weekends, especially through the summer and festive season. Reserve early and you secure the rig that suits your programme, with room to arrange everything else in peace. Cutting it fine? Reach out anyway, since last-minute works more often than people expect.

A timeline for your event day

Sound is not only about the gear, it is about timing. Have the set up and tested well before the first guests arrive, so a speaker can try their microphone and music can hum quietly under the arrivals. Build your programme in a sensible arc: gentle background music as people come in, clearly amplified speech for the formal part, and only then the volume up for the celebratory close. Think the transitions through beforehand and you will barely need to touch the controls during the event itself. How do I know how much power I need?

We work it out together from your guest count, the size of the space and whether you are indoors or out. Give us those three things and we will recommend a set with enough in reserve, so the sound stays clear even at the busiest moments.

Can one set handle both speeches and music?

Yes. A speaker set paired with a wireless microphone covers the talks and the music alike. You switch between the two through the evening without needing separate equipment for each part.

Is the gear straightforward to set up myself?

Most sets go up with a short briefing. At handover we show you how to place the speakers, connect the cables and bring the volume up. For a larger PA we add pointers on positioning so the sound spreads evenly through the room.

What if my event is outside?

For open air we often suggest a battery rig such as the Soundboks 3, which plays without a socket and has the pressure to carry outdoors. If power is available, a mains PA set is a fine choice for a bigger outdoor crowd too.

Can I combine several speakers for a large hall?

For big spaces we use a complete PA set made for the job, subwoofer and stands included. Tell us the dimensions of the hall and we will put together a layout that reaches the whole room evenly.

How far ahead can I reserve?

As early as you like, and for an event early is wise. Popular sets fill up fast on weekends, so once your date is fixed it is best to secure the sound straight away.

Can I collect the gear a day early to set up calmly?

Often, yes. Note on your booking that you would like to build early, and we will see whether the set can be free the day before, so there is nothing left to rush on the day itself.
